Choose a question worth answering

Start with a task that requires several records, such as preparing for a client meeting. Ask for the latest sales conversation, open support questions and upcoming actions. Be specific about the customer and the period you want covered.

• Try: "Summarise the latest conversations with Atlas & Co and list the open questions."
• Ask the assistant to identify missing information.
• Use a test record before giving the connection wider access.

Connect only the information needed

MCP is a standard connection that lets compatible assistants use tools and information from another system. An assistant connection and a provider API key are different setup choices. Agree which option fits the task, which records it can read and which actions it can perform.

• Use workspace permissions and an account appropriate for the task.
• Review what information is shared with the AI provider.
• Check provider account requirements and usage charges before connecting.

Read the sources before acting

An AI summary is a starting point. Check the linked customer records, dates and original messages before making a decision or sending a reply. If records disagree, resolve that conflict with the person responsible rather than asking the assistant to guess.

• Check amounts, names and promises in the original record.
• Ask which information supports the answer.
• Keep a person involved when the next action commits the business.

Turn a useful answer into a repeatable workflow

Once the briefing is useful, decide whether it should be prepared before every meeting or only when someone asks. Define the trigger, the records to read, the output and the review step. Our implementation team can help build and test that process.

• Keep the first workflow narrow enough to review easily.

Does a ChatGPT or Claude subscription cover all API use?

No. Assistant subscriptions and provider API billing are separate arrangements. Check the setup you choose and any external usage charges. Custom implementation is also scoped separately from the Vitae OS subscription.
