Keep sales follow-ups moving without chasing your team

A reliable sales follow-up process gives each opportunity one owner, one clear next action and a date. Vitae OS keeps those details beside the customer history, so the team can see what needs attention and prepare a relevant reply.

Make the next action specific

"Follow up" is easy to ignore. "Ask Sam whether the proposal covers the launch brief by Thursday" tells the owner what to do and why. Record the action when the conversation happens, while the context is still fresh.

  • Give the action an owner and a realistic due date.
  • Link it to the contact and opportunity.
  • Record the last meaningful conversation, rather than just the last email sent.

Use customer context to prepare the reply

Read the last exchange, open questions and proposal before drafting a message. An AI assistant can help prepare a summary or draft using the records it is allowed to access. The owner checks the facts and tone before sending.

  • Address the question the customer actually asked.
  • Check names, dates, pricing and commitments against the source.
  • Do not treat a draft as permission to send a message.

Review stalled work as a team

Use the sales view to review opportunities that have no next action or have not moved. Decide whether to follow up, change the expected close date or close the opportunity. A busy pipeline is not useful if it is full of conversations that have ended.

  • Separate waiting on a customer from waiting on an internal decision.
  • Keep a record of why an opportunity was lost or paused.
  • Make ownership clear when an account manager or colleague takes over.

Measure the process before adding automation

Start with a weekly review of missed follow-ups, response times and opportunities without owners. Then choose one repeated action to automate, such as preparing a task after a meeting. Compare the same measures after the change.

  • Agree what counts as an overdue follow-up.
  • Check a sample of generated tasks for duplicates and wrong dates.
  • Keep a clear route for a person to fix an incorrect update.

Can AI send every sales follow-up for us?

Agree the sending rules for each workflow. Drafting a message and sending it are separate actions. Use approval for messages that need judgment, and define the audience, permissions and stopping rules before enabling automated sending.
